To send an invoice, open Get Paid in the sidebar and click New Invoice. Pick the customer, add what you're billing for, choose the payment terms and click Submit. Then pick Save and Send to email it. Your customer gets a link to pay you by bank transfer, and they don't need a Cleo Pay account.
Create the invoice
- Click Get Paid in the sidebar, then click New Invoice.
- Under Contact, pick your customer. If they aren't listed, click Add a Contact and enter their name and email.
- Check the Number. If automatic numbering is on, it's already filled in. You can type over it.
- Set the Issue Date and pick the Payment terms: Due on receipt, Net 7, Net 14, Net 15, Net 30, Net 60 or Custom. The Due Date follows the terms you pick.
- Under Items, enter each thing you're billing for with its quantity and rate. Click Add item for another line.
- Click Submit.
Already have the invoice as a PDF? Drop it on Import invoice at the top of the form, and Cleo Pay fills in the form from it. Check every line before you send.
To come back to an invoice later, click Save as draft instead of Submit. Drafts sit in the Draft tab on the Get Paid page, and your customer can't see them.
Add tax or a fee
Below the items, click Taxes & fees to add sales tax, a gratuity, a service charge or another fee. Each one can be a percentage or a fixed amount. If your form shows Deductions, use it to give a discount.
If you charge the same tax on every invoice, an admin can set it once in Settings > Payments under Taxes & fees. It's then added to each new invoice for you. Sales tax set there can be switched off for tax-exempt customers.
Send it
When you click Submit, Cleo Pay asks how you want to finish:
| Option | What happens |
|---|---|
| Save | Saves the invoice. It's only emailed on its own if the customer is a business you're connected with on Cleo Pay |
| Save and Send | Saves the invoice and opens an email for you to review before it goes out |
With Save and Send:
- Check the To line. Your customer's email is filled in if we have it. Click Add Cc / Bcc to copy someone else.
- Change the Subject if you want. It starts as "Invoice [number] from [your business]".
- Add a note in Message if you like. It shows above the line items.
- Leave Attach invoice PDF on to include the PDF. Admins can also turn on Attach W-9.
- Click Send.
Your customer's email has a button that says "Pay [amount] on Cleo". See How do customers pay my invoice?
If you close the email without sending, the invoice is still saved, but your customer isn't told about it. To send it later, find it on the Get Paid page and click the mail icon (Send invoice). You can also click Copy payment link and send the link yourself.
Number your invoices automatically
An admin can turn on numbering in Settings > Invoices, in the Numbering section under "Invoices you send".
- Number Prefix starts as INV. You can add the date with
{YEAR},{MONTH},{DAY}or{YY}, and the page shows a preview. - Counter Reset sets how often the counter goes back to 0001: Never, Yearly or Monthly.
The Invoices and Payments settings pages show up on paid plans only, and only admins can change them.
If your account is new
Payments are off until a quick call with our team. You can still create and save invoices, but Save and Send says "Sending invoice emails turns on after a quick call with our team." Payment links turn on after that call too. See Why are payments turned off?
If you see "Finish setup to send invoices", there's still a step left in your account setup.
If something goes wrong
- "Select a customer before submitting this invoice." Pick someone under Contact first.
- An invoice you send has to be at least $1.00. Drafts can be less.
- "You don't have permission to create invoices." Ask an admin on your account to change your role.
If you're still stuck, email support@cleo-pay.com with the invoice number, the customer's name and the message you saw.
