Cleo Pay can import your vendor list and your bill payment history from Bill.com. Go to Settings, click Migrate, then Migrate from Bill.com. You upload two CSV files exported from Bill.com: your vendors first, then your bill payments. The payments come in as paid bills you can look back on.
What you need from Bill.com
Two CSV exports:
| Export | Cleo Pay reads these columns |
|---|---|
| Vendor export | Id, Vendor Name, Active?, Primary Email, Payment Info Email, Company Name, Phone, Tax ID, Tax ID Type, Type |
| Bill payments export | Vendor, Invoice Number, Payment Reference, Payment Method, Process Date, Amount, Disbursement Reference |
A vendor row needs at least an Id and a Vendor Name. A payment row needs the vendor, invoice number, payment reference, payment method, process date and amount, or it's skipped. Subtotal rows are skipped too.
Cleo Pay doesn't walk you through Bill.com's export screens. If you can't find these exports in Bill.com, email support@cleo-pay.com and we'll help.
Step 1: Import your vendors
- In Cleo Pay, click Settings, then Migrate under Migration.
- Click Migrate from Bill.com. You start on the Vendors step.
- Drop your Bill.com vendor CSV on the upload box, or click it to pick the file.
- Check the preview of the first few vendors.
- Under Add to Cleo as, pick how to add them. With Invite via email, active vendors that have an email get an invitation to Cleo Pay, and inactive vendors or vendors with no email become read-only payees. With Add silently, no invitations go out and every vendor becomes a read-only payee.
- Click Import vendors. Stay on the page until it finishes. Large lists can take a few minutes.
When it's done you'll see how many vendors were invited, created as payees, skipped because they were already imported, or failed.
Step 2: Import your payment history
- After the vendor import, you move to the Historical bills step.
- Drop your Bill.com bill payments CSV.
- Cleo Pay matches each payment to a vendor by name, including vendors you imported earlier. Unmatched vendors lists any names it couldn't match. Click Add as payee to include their bills, or leave them and those bills are skipped.
- Click Import bills.
You'll see how many bills were created, skipped because they were already imported, or failed.
What the imported bills look like
Each payment row becomes one bill marked Paid, with its invoice number, amount and the date Bill.com processed it. The payment method shows as check, ACH or other, based on the method in the file.
These bills are records only. They never go through Cleo Pay's payment flow, so nothing is paid again. They also never sync to QuickBooks, because they're already in your books.
It's safe to run either import again. Vendors and bills that are already in Cleo Pay are skipped, not duplicated.
What doesn't come over
- Bills that haven't been paid yet. The import only reads paid bill payments. Add open bills in Cleo Pay as new bills. See How to add a bill.
- Vendor bank details. Vendors you invite add their own bank account when they accept.
- Vendor addresses.
- Attachments from Bill.com.
Moving from Melio?
Melio shows on the Migrate page as Coming soon and can't be selected yet.
